Your emails are going to spam. We find out why, then fix it.

Open rates collapsed. Replies dried up. Your team swears the copy is fine. Most deliverability problems are not copy problems, they are infrastructure, reputation, and list problems wearing a copy problem's clothes. We diagnose the actual cause and remediate it, in that order.

The symptoms

The symptoms we see every week

Deliverability failure has a signature. If two or more of these are true, your problem is placement, not persuasion:

  • Open rates dropped sharply with no change to your copy or list
  • Your own test emails land in Gmail's Promotions tab or in spam
  • Replies fell even though you are sending to the same kind of prospects
  • A new domain or new sending platform never got traction from day one
  • Someone told you your domain is on a blocklist, or you suspect it
  • You bought or inherited a list and inboxing died shortly after

None of this is fixed by rewriting subject lines. A subject line cannot outrun a damaged sender reputation. The order of operations matters: diagnose, repair, then optimize the copy. Doing it backwards is why most teams stay stuck.

The diagnosis

How we diagnose it

We treat this like a medical workup. No treatment before diagnosis. Here is what the diagnosis covers:

  • Authentication audit. SPF, DKIM, and DMARC records checked record by record. Misaligned or missing authentication is the single most common silent killer we find.
  • Reputation review. Sender score, domain age and history, IP neighborhood, and complaint rates. Gmail and Outlook judge your reputation before they read your subject line.
  • Blocklist check. We check the lists that matter and distinguish real listings from noise. A listing is a symptom, we trace it to the cause.
  • Seed testing. Controlled sends to test inboxes across major providers, showing exactly where you land: inbox, promotions, or spam, provider by provider.
  • List hygiene analysis. Bounce rates, unknown addresses, spam traps, and engagement segmentation. A list full of dead addresses actively damages the addresses that are alive.
  • Content and sending review. Subject line patterns, link structures, image ratios, and sending cadence. Checked last, because it is the fix people reach for first and it is rarely the root cause.

You get the findings in plain language: what is broken, how broken it is, and what each item costs you. No jargon wall, no scare report designed to sell you the fix. The diagnosis stands on its own, and you own it either way.

The fix

Then we remediate, in priority order

The fix sequence follows the diagnosis. Highest impact first, and nothing decorative:

  • Authentication repair. Correct SPF, DKIM, and DMARC implementation, including alignment for every service that sends on your domain.
  • Reputation rehabilitation. Delisting requests done properly, volume discipline, and a sending cadence that rebuilds trust with the providers instead of fighting them.
  • List cleaning. Hard bounces, chronic non-openers, and risky addresses removed or quarantined. A smaller list that reaches the inbox beats a big list that reaches the spam folder, every time.
  • Content decontamination. Trigger patterns rewritten, link and formatting hygiene corrected, and templates rebuilt to look like mail a human actually sends.
  • Segmentation and warming. Your most engaged recipients get priority while reputation rebuilds. New domains and platforms are warmed with real engagement, not shortcuts.
  • Ongoing monitoring. Placement checks and reputation watches so you catch the next problem when it starts, not when your pipeline is empty.

Some clients stop after the fix and run their own campaigns. Others move into managed B2B email outreach with us, since the infrastructure is now clean and the list is healthy. That handoff is natural, never forced: see our B2B email marketing pricing for how managed outreach is structured.

What we need

What we need from you

Three things, and the work can start:

  • Read access to your email sending platform and your DNS, or a contact who can implement our record changes
  • An honest history: when did it break, what changed around then, where did the list come from
  • Permission to run controlled seed tests from your domain, which is how we verify the fix actually worked

What we will not do: promise a specific open rate, sell you a "guaranteed inbox" tool, or blame your copy for a reputation problem. We have run email for our own portfolio businesses, including the outreach that supports real revenue operations. We do this work the same way we would do it for ourselves: diagnose first, fix what is broken, verify it worked.

Questions

Frequently asked questions

We do not guess. We test seed inboxes across major providers, check your authentication records, review your sender reputation and blocklist status, and look at your engagement data. If your mail is going to spam, the evidence shows where and why.

Sometimes, and sometimes the blocklist is a symptom rather than the problem. We handle the full process: identify the listing, fix the underlying cause, and complete the delisting request properly so it does not come back.

Yes, read access to your sending platform and the ability to add DNS records, or your IT person doing it with our instructions. We cannot fix authentication we cannot see.

If the content is part of the problem, yes. Spam triggers live in subject lines, link patterns, and formatting as well as in infrastructure. The diagnosis covers both.

Then we tell you that. A clean list on broken infrastructure and perfect infrastructure with a dead list both fail. We diagnose both sides and show you which one is costing you.

Yes. The fix restores inbox placement, but holding it requires ongoing list hygiene and sending discipline. Many partner clients move into a managed outreach engagement so the problem never comes back. Worth saying plainly: we aren't a marketing company. The marketing services we offer are just for our partner clients.
